1. Data controller

Requests, inquiries and claims about personal data are handled through the channels above. Responsible area: [role or area, e.g. Management].

2. Data we collect

We only collect the data you give us when you request a quote or contact us:

• Name or company name.
• Mobile number and, if you provide it, email address.
• Service of interest, area and the details you write about the space.
• Proof of your authorization: date and time, policy version and options selected.

We do not ask for sensitive data (health, ethnic origin, political or religious views, biometrics, etc.) or data about children. Please do not include it in the details field. This site does not use tracking cookies or analytics (see the Cookie policy).

3. Purposes

• Reply to your request, schedule the on-site assessment and send you the quote.
• Contact you by phone, WhatsApp or email to manage that request.
• Provide, supervise and invoice the service if you hire it, and meet legal, accounting and tax obligations.
• Only if you expressly authorize it with the optional checkbox: send you offers and news from ASEAX Universal. You can withdraw this authorization at any time without affecting the others.

We do not sell, rent or give away your data to third parties for commercial purposes.

4. Authorization

Before sending the form you must freely and expressly tick the data processing and contact authorization boxes. No box is pre-ticked. We keep proof of the authorization (date, time, policy version and chosen options), as required by article 9 of Law 1581 of 2012. When you contact us directly by WhatsApp, phone or email, we take your message as unequivocal conduct authorizing us to reply.

5. Your rights

As the data subject you have the right to (article 8 of Law 1581 of 2012):

1. Access, update and correct your personal data.
2. Request proof of the authorization given.
3. Be informed about how your data has been used.
4. File complaints with the Superintendence of Industry and Commerce (SIC) for breaches of the law, after first contacting us.
5. Withdraw the authorization and request deletion of your data when there is no legal or contractual duty to keep it.
6. Access your personal data free of charge.

6. Inquiries and claims

Write to aseaxuniversal@gmail.com with your name, ID number, contact details, a description of your request and, if applicable, supporting documents.

Inquiries

We answer within ten (10) business days of receipt. If that is not possible, we will tell you why and give a new date, no more than five (5) additional business days later.

Claims (correction, update, deletion or withdrawal)

We handle them within fifteen (15) business days from the day after receipt. If a claim is incomplete, we will ask you to complete it within five (5) days; if two (2) months pass without a reply, the claim will be considered withdrawn. If we cannot reply in time, we will tell you why and give a new date, no more than eight (8) additional business days later. While it is resolved, the data will be flagged “claim in process”.

7. Processors and transfers

We use providers that may process data on our behalf, some with servers outside Colombia (international transmission):

• Netlify: hosts the website and receives the form information, then notifies us by email.
• Google (Gmail): the mailbox where we receive and answer requests.
• WhatsApp (Meta Platforms): if you choose to message us on WhatsApp, your messages are also governed by that service’s terms.

We only share what each purpose needs and require these providers to apply security measures in line with the law.

8. Security and retention

The site works only over an encrypted connection (HTTPS), applies a content security policy and does not store your data in the browser. Access to requests is limited to the staff who handle them. We keep data for as long as the business relationship lasts and for the period required by accounting and tax rules; requests that do not lead to a contract are deleted within two (2) years at the latest.

9. Validity and changes

This policy applies from November 5, 2026. If we change it substantially, we will publish the new version and date on this page and ask for a new authorization when the law requires it. The databases remain in force while the purposes described remain.

If ASEAX Universal is required to register in the SIC National Database Registry (RNBD), its databases will be registered there.
